Research Grants Accountant I

The University of Louisville Office of Sponsored Programs Administration and Compliance is seeking to hire a Research Grants Accountant I. This position will be responsible for overseeing all billing and cash management processes which includes ensuring billing cycles are executed in a regularly scheduled manner, invoices are generated or adjusted as needed, system process issues are identified and reported for resolution; assist and oversee payment application and receipt documentation; research and resolve billing issues with invoices; assist the grants accountants with billing discrepancies through GL reports, PeopleSoft queries and tables; coordinate the setup activation and closeout of grants and contracts with the automated billing system; assist system analyst with PeopleSoft upgrades and maintenance on billing processes and functionality to ensure proper results are achieved; informing and training Grants staff on system upgrades and new functionality. Have advanced Excel experience; exercise excellent customer service skills as well as independent judgement and discretion in the management of grants and contracts.

Essential Duties and Responsibilities

  1. Coordinate billing and processing tasks. Oversee and operate the automated billing system to ensure processes are executed in a regularly scheduled manner, ensure invoices are created and process invoice issues are identified and reported for resolution. Assist with the reconciliation of billing system to resolution. Assist with the reconciliation of the billing system to general ledger and bank deposits. Assist accountants with billing discrepancies through GL reports, PeopleSoft queries and tables. Research and resolve billing issues by invoicing and report billing issues to system analyst if unable to resolve.
  2. Assist with the setup, activation, maintenance and closeout of grants and contracts. Ensure that grants are assigned to accountants for timely and accurate contract review, data verification, contract amendments, revenue account and billing cycle assignment. Oversee maintenance of the related contract documentation. Facilitate closeout of grants by assisting grants accountants with invoice adjustments and carryover requests.
  3. Assist with customer services issues related to grant and contract activities, billing and collections.
  4. Ensure that payment applications and receipt documentation are processed in an accurate and timely manner via the check log.
  5. Analyze discrepancies between the payment log and PeopleSoft to ensure all payments are recorded and applied.
  6. Ensure the Payment Log is reconciled monthly to the PeopleSoft account for receipt of all sponsored programs payments and apply the payments in the month received.
  7. Assist system analyst with PeopleSoft upgrades and maintenance on billing processes with functionality to ensure proper results are achieved. Inform and train Grants staff on system upgrades and new functionality.

$35.33

Target Compensation Minimum

$23.54

Compensation will be commensurate to candidate experience.
